How to stop missing immigration deadlines: a 5-step system for consultants
A missed deadline is the most expensive mistake in an immigration practice. It costs clients their status and costs you your reputation. Most misses are not carelessness; they happen because dates live in too many places. Here is a simple system.
1. Put every date in one place
Permit expiries, filing windows, document requests and client follow-ups should all be attached to the case, not to your inbox or a personal calendar. If a date is not on the case, it does not exist.
2. Track stages, not just dates
Give every case a clear stage: intake, documents, forms, submitted, decision. A board view shows at a glance which cases are stuck and which need action this week.
3. Work from a daily “due soon” view
Start each day with a single list of what is due in the next 7, 14 and 30 days. Review it before email.
4. Make document requests trackable
Record what you asked the client for, when, and what is still missing. Chasing from memory is where most delays begin.
5. Review weekly
Spend 20 minutes each week scanning every open case. A system only works if someone looks at it.
Where software helps
A spreadsheet can do steps 1 to 3 until you have more than a handful of active cases. After that, a purpose-built board with deadlines, forms and billing attached to each case removes the manual upkeep. That is what immiBoard is built for.
